2022 Spring Graduate Mass Appointments

Each semester, volumes of graduate assistant reappointments need to be completed. The Graduate Mass Appointments process will be available on October 25 for the Spring 2022 semester. This process allows you to reappoint more than one graduate employee at a time. 

Appointments on a semester basis must have a minimum appointment period of the first day of classes through the last day of finals (as outlined in the academic calendar).

Departments requiring advanced preparation of graduate assistant assignments before the first day of classes, such as course development, planning or preparation, required training (including PIE), or pre-semester meetings, must establish the start date of the appointment to provide a reasonable length of time to accomplish this work. Additionally, departments must continue the appointment period through the grade submission deadline for assignments requiring grading duties.

If unforeseen or exceptional circumstances arise, a limited appointment may be for less than the minimum appointment period. In this case, the department shall provide an explanation to the Office of Human Resources, who will review and approve the appointment.

Graduate Assistant Mass Appointments

GA mass appointments are entered by Department Representatives in OMNI HR and then made available in batches for approval by Department Managers. We are excited to have made changes to the GA mass process based on feedback received from departments. These changes will make the process more intuitive and streamlined. The training guide for GA Mass can be found on the Human Resources website.

Timeline for Spring 2022 GA Mass Appointments

  • October 25 – November 1: Graduate Mass Appointments open to Department Representatives (Originator) for entry.
  • November 2 – November 9: Open for Manager approval for all Graduate changes.
  • November 10 – November 17: Open for Department Representatives (Originator) to review and update any changes per Manager.
  • November 18 – November 19: Open for Manager to approve final changes.
  • November 30: File loaded in OMNI.
  • December 1: Update any discrepancies based on query results.

In the future, where practicable, graduate assistants appointed in both the fall and spring semesters should have a continuous appointment, and departments should prioritize issuing such appointments before appointing graduate assistants for an individual semester.
