A new look for the Courtesy Smart Onboarding portal is here! The Office of Human Resources will launch two updates to the Courtesy Smart Onboarding process on Monday, February 20, 2023.

Social Security Number or Temp ID Placeholder

The first update is in the Smart Onboarding Courtesy Portal under Candidate Information. If a courtesy candidate chooses not to use their Social Security number or does not have one, they will be instructed to reach out to their HR Department Representative to request a Temp ID placeholder. This field will be required before the courtesy candidate can complete the Smart Onboarding process.

The HR Department Representative must reach out to the email to request a Temp ID on behalf of the candidate, providing their name, date of birth, and start date. The overall process for the Temp ID generation will not change; it will only change the order of when it is requested to assist candidates further.

Photo ID

Our second update to the Courtesy Smart Onboarding process is for ID verification. A courtesy candidate must upload a photo ID in their Supplemental Documents. This photo ID can be domestic or international as long as the ID contains a picture of the candidate and the candidate’s name. If the courtesy candidate does not upload their photo ID, it will be the HR Department Representative’s responsibility to upload it in Departmental Supplemental Documents. The Department Representative must also verify the name on the photo ID matches the courtesy candidate in the Onboarding process before submitting it to HR.
