Onboarding My Tasks Update

Message to department representatives

This message has been approved by Shelley Lopez, Program Director, Communications/Special Projects, for distribution to all Department Representatives.

Onboarding invitations are considered complete when all required supplemental documents and approvals are submitted to HR for final processing according to the Smart Onboarding Deadlines Calendar. Invitations received after the deadline or missing required documents may not be processed by the end of the pay period. Currently, HR holds the incomplete invitations that are missing required documents and communicates with Department Representatives to reach compliance on the missing items before processing.

What’s New?

A new feature has been developed which allows HR to push the invitation back to the department’s My Tasks at the Supplemental Documents (Admin) step for missing or incomplete documents. The job offer originator will receive an email notification of what is missing. Once the required document is uploaded, the department can click the “Save and Submit” button and send it back to HR for review and processing. This process will streamline communication and monitoring for Department Representatives and HR.

Department Representatives should continue to monitor My Tasks daily for items in their worklist requiring action.

Search My Tasks in the onboarding portal to complete any items pending your review.

  • From Department Administration > FSU On-Boarding Tile > FSU On-Boarding Landing Page > My Tasks
    • Complete the Supplemental Documents step and upload all required documents. Click “Save and Submit” to send it to HR.

In addition, the following query FSU_SM_PEND_CAND_STEP_BY_DEPT can be run in OMNI HR to monitor all candidates pending from your department(s) and where they are in the onboarding process.
